The Event Organiser
For very large or complex Events the Event
Organiser may appoint an Event Producer/Manager to take on that
role, however for most BBC Events these roles are combined.
The Event
Organiser has prime responsibility for the health,
safety and welfare of everyone working at, or attending, the event.
The role may be taken by the BBC, a local authority or an
independent company. The BBC may also contract in an Event
Organiser on their behalf to manage the event (see advice on selecting
contractors).
The Event Organiser's responsibilities are
to:
- Manage the arrangements for the event to ensure the health and safety of the public and participants.
- Ensure proper and effective co-ordination and co-operation for health and safety between the various parties involved in the event e.g. Owner/ Occupier, Host/ Rights Holding Broadcasters, Contractors, Local Authority and Emergency Services.
- Ensure Risk Assessments are obtained from all contributors to the event and compile an event safety file.
- Communicate the appropriate safety information and arrangements to those involved.
The Event Organiser will:
- appoint a person to act as the Event H&S Co-ordinator to oversee the health and safety arrangements and communicate that person to all participating in the event. This role could be taken by the EO as well)
- notify BBC Safety at the beginning of the commissioning process. (The size, location and nature of the event and the role the production is undertaking will determine the involvement of BBC Safety).
Where the BBC is the Event Organiser we will
automatically become the UK Host Broadcaster.
